It is Sunday morning. You planned coffee, pyjamas, and absolutely no salon decisions. Then a client books the one opening your calendar still thinks is available.<\/p>\n\n\n\n

You can honour the booking and lose the day. Or you can send an awkward message and move it. Either way, Admin Chaos has found your phone.<\/p>\n\n\n\n

Here is the problem: a day off that lives only in your head is not a boundary. To a booking system, it may look like an empty slot.<\/p>\n\n\n\n

The fix is not to become less generous. It is to make your working rules clear before a client reaches the calendar. A strong salon schedule has five layers.<\/p>\n\n\n\n

1. Set your normal working hours<\/strong><\/p>\n\n\n\n

Your regular availability is the foundation. Write down the days and hours you want to work in a normal week, including the time you need to open, close, and reset.<\/p>\n\n\n\n

In salonMonster, go to Settings \u2192 Hours\/Vacations<\/strong>, choose the staff member, turn each working day on or off, set the start and finish times, and save.<\/p>\n\n\n\n

Do not build this schedule around your most heroic week. Build it around a week you can repeat without feeling resentful by Friday.<\/p>\n\n\n\n

2. Block one-time time off<\/strong><\/p>\n\n\n\n

A dentist appointment, a school event, or a slow Tuesday afternoon off does not require new business hours. It needs a protected block.<\/p>\n\n\n\n

In salonMonster, open Bookings<\/strong>, select the time on the calendar, choose Time Off<\/strong>, set the duration, add a description if useful, and book it.<\/p>\n\n\n\n

Use a label that will make sense later, but keep private details out of shared calendars. \u201cAppointment\u201d is usually enough. The purpose is to protect the time, not explain your life.<\/p>\n\n\n

3. Make repeating boundaries repeat<\/strong><\/p>\n\n\n\n

Lunch, bookkeeping, education, and family commitments often happen on a pattern. If you add them one week at a time, one will eventually be forgotten.<\/p>\n\n\n\n

When adding Time Off<\/strong> in salonMonster, turn on Recurring<\/strong> and choose a daily, weekly, or monthly frequency. After saving, check a future date to confirm the pattern landed where you expected. Future occurrences can be edited or deleted when plans change.<\/p>\n\n\n\n

A repeating block is a small system doing its job. It keeps you from having to defend the same boundary over and over.<\/p>\n\n\n\n

4. Treat vacations and closures as calendar facts<\/strong><\/p>\n\n\n\n

A vacation should not depend on remembering to decline every request. Add the start and end dates before clients can book into them.<\/p>\n\n\n\n

In salonMonster, go to Settings \u2192 Hours\/Vacations<\/strong>, choose the staff member, open Vacations<\/strong>, select Add vacation<\/strong>, enter the dates, and save.<\/p>\n\n\n\n

For a full salon closure, the vacation must be added for each staff member. That extra check matters. One open staff calendar can make a closed salon look bookable.<\/p>\n\n\n\n

5. Set a booking horizon you can plan around<\/strong><\/p>\n\n\n\n

If clients can book far beyond the dates you have planned, future-you may inherit commitments current-you never meant to offer.<\/p>\n\n\n\n

In salonMonster, go to Settings \u2192 Booking Settings<\/strong> and find How far in the future can a client book online?<\/strong> Enter the number of days and save.<\/p>\n\n\n\n

There is no perfect number for every business. Choose a window that gives clients useful access without asking you to predict your life too far ahead.<\/p>\n\n\n

A ten-minute boundary check<\/strong><\/p>\n\n\n\n

Once a month, look several weeks ahead and ask:<\/p>\n\n\n\n

Are my normal hours still honest?<\/p>\n\n\n\n

Are recurring breaks showing on future dates?<\/p>\n\n\n\n

Have I entered appointments, education, and family commitments?<\/p>\n\n\n\n

Are vacations blocked for every affected staff member?<\/p>\n\n\n\n

Does my booking horizon still fit how I plan?<\/p>\n\n\n\n

You can always choose to open a protected slot. The important word is choose<\/strong>. A clear calendar lets generosity be intentional instead of automatic.<\/p>\n\n\n\n

Your day off is not wasted capacity. It is part of the life your business is supposed to support. Put the boundary in the system, then let the system hold it.<\/p>\n\n\n\n
