A practical guide for independent beauty professionals

You have years of client names, colour notes, appointment history, services, and tiny details that help a busy day run well. Then your salon software stops fitting the way you work.
Changing it should feel like choosing a better tool. Instead, one thought takes over: What if I lose everything?
That fear keeps plenty of smart beauty professionals stuck. Your records are not random files. They are part of the business you built. The good news is that switching does not have to mean rebuilding every client profile by hand.
The safest move is to follow the right order.
1. Decide what must come with you
Before you compare platforms, list the records you rely on. Start with:
- client contact details
- client notes and formulas
- future bookings
- appointment history
- services and prices
- staff details
- products
- gift card balances
Not every salon needs every item. A solo nail artist may care most about client notes and future appointments. A multi-chair salon may also need staff, services, products, and gift cards.
Mark each item must have, helpful, or fine to rebuild. That gives you a real migration checklist instead of a vague hope that “the data” will move.
2. Find out what your current system will release
Ask your provider how to export each must-have record. Look for CSV, XLS or XLSX files. Calendar information may also be available through an iCal subscription.
This step matters because a new provider can only work with the information the old one makes available. One export may include contact details but leave out notes. Another may require support to prepare bookings or services.
Do not cancel your old account yet. Export first, open the files, and check that they contain the records you expected.
3. Ask the new provider specific questions
“Can you import my data?” is a start, but it is too broad. Use your checklist and ask:
Which of these records can you import?
Which file formats do you accept?
Who handles the import?
What will not transfer?
How long does a typical import take?
What should I check when it is finished?
Clear answers now prevent ugly surprises during a fully booked week.
4. Choose a quiet handover point
Avoid changing systems in the middle of your busiest day. Pick a calmer window and decide when the old calendar stops being the main calendar.
Before the change, save a fresh export. After the import, spot-check a few records you know well: a regular with detailed notes, a future booking, a long service, and any important balance. Then compare the next several working days against the old calendar.
Keep the original export somewhere secure. It is your backup and a useful record of what existed before the move.

There is another detail worth checking before you trust any new system: how easy is it to leave later? In salonMonster, you can go to Settings → Export Data, choose the data you want, and export it as CSV. Your data should never become the price of staying with software that no longer serves you.
Switching may still take a little planning. That is normal. But starting over from zero should not be part of the deal.
